Spend less time running your practice. More time in the room.
Throughway is the calm CRM and session companion for coaches who do everything themselves. Pipeline, notes, email, contracts and billing in one place — and a short worklist each morning that tells you where you're the hold-up.
Your practice lives in seven places. None of them talk to each other.
A spreadsheet for the pipeline. A doc per client. Calendar for sessions. Notes app for the real notes. Inbox for everything you sent them. Email for contracts. Something else for invoices. You hold the threads together — between sessions, after hours, in your head.
Throughway's answer isn't a dashboard. It's one record per client that fills itself as you work, and a morning list short enough to finish.
Built around the two things you actually do.
The app changes shape depending on which one you're in: moving people forward, or being with a client.
Moving people forward
A kanban board across nine stages, from Identified to Active. A quick peek opens as a slide-over, so the board never leaves you.
Being with a client
Open a client and they fill the page — goals, engagement, and one Timeline that merges every session, note, email and file, grouped by engagement.
From first hello to final invoice.
A worklist you empty, not a dashboard
Four sections and nothing invented: an email you haven't answered, a send that failed, a next action due, a session today or held without a review. Rows resolve where they sit — Email, Share, Done, Dismiss — or hand you to the client.
When it's empty it says one sentence and gets out of the way.
— wants to stop "managing up" and start leading
— noticed: softer voice when she said it
— the reorg isn't the problem. being seen deciding is
Notes that stay present
Plaintext notes own the screen while you're in session — no formatting to fiddle with, autosaved. Action items get their own box. Agenda, goals and your working agreements sit in a drawer you can ignore.
Afterwards the same page becomes the wrap-up, then your private review. Presence, talk balance, what you'd do differently — yours alone, never shown to the client.
Every session belongs to an engagement, so it names itself: Session 7 of 10.
A second pair of ears, if you want one
Attach a transcript — from your call tool, or pasted — and Throughway can sit with you afterwards: a few real questions, then a write-up that starts with what worked and moves to what's worth sitting with.
Anything useful goes straight onto the client's next agenda. It learns the lens you care about, and it's entirely optional — no transcript, no AI, and the review is still yours to write.
Consent lives on the client record. Nothing is shared with the client, ever.
You left the silence after "I don't know if I want this job" — eleven seconds. She filled it with the truest thing she said all hour.
Three times you offered a frame before she'd finished. Each one landed — and each one was yours, not hers.
Everything you sent them, in one record
Email goes out through your own Gmail and syncs back both ways, so the correspondence sits on the client's Timeline without you filing anything. There's no second inbox and no open tracking — replies happen in your mail app.
Docs, links, pages you write and files you receive hang off the client. Each one carries a single bit: private, or shared. Shared means it appears in that client's portal — one link per client, magic-link sign-in, cumulative across engagements — and they get emailed a deep link too.
Nothing to publish. Nothing to keep in sync.
Signed without the PDF relay
One reusable template with {{merge}} chips that resolve from the engagement. Client signs in their portal, you countersign, the copy lands in Files.

Month-end in one pass
Retainer, per session, or prepaid package — each engagement carries its model, so the drafts generate themselves. Send all, collect by Stripe, mark paid.
Connect once. Stop re-typing.
Three connections, each optional, each switched on by you in Settings › Connections.
Sessions, already scheduled
The meeting you booked becomes the session in your practice.
Read-only · never writes to your calendar
Every exchange on the timeline
Send from your own address; replies file themselves under the client.
Clients only · no inbox, no tracking
If you want them
A transcribed call attaches itself to the session it belongs to.
Your meetings only · off by default
- Google Calendar
- Reads events to match a meeting to a session. Never creates, edits or deletes anything.
- Gmail
- Sends from your address and reads only threads with addresses on your client records. The rest of your mailbox is untouched.
- Google Meet
- Fetches transcripts for meetings you attended, when you turned transcription on. Can't start, stop or change a meeting.
- Zoom
- Fetches the transcript of a cloud recording for calls on your calendar. Can't start, join or record a meeting.
- Your control
- Signing in with Google connects nothing on its own — you choose each connection, and can disconnect any of them at any time from your Google or Zoom account.
- Your data
- Used only to provide these features. Never sold, never shared for advertising, never used to train models — see the privacy policy.
Move in this week. Bring your clients with you.
Bring your roster
Add clients onto the right pipeline stage and set each engagement — model, rate, cadence. Back-fill past sessions as one-liners; no re-typing.
Connect your mailbox
Gmail, once. Throughway backfills a year of correspondence onto the right clients and keeps it current as you send.
Coach from one page
Start a session straight from the client. Notes, action items and your private review live together and save themselves.
Bill without the dread
At month-end, generate invoices from the same engagements you've been coaching. Send, get paid by Stripe, mark it done.
Good things to know
Anything else, ask in the demo — it's a real conversation, not a sales call.
Do I have to use AI? +
No. Throughway is a working CRM and notes app with the AI switched off — pipeline, timeline, sessions, contracts and billing don't touch it. Auto supervision is the one place it appears, it needs a transcript you chose to attach, and you can turn it off for a client or for the whole account. Your own seven-field review stays available either way.
Do you record my sessions? +
Throughway doesn't sit in the call. If your video tool already produces a transcript you can let it flow in, or paste one by hand — per client, with consent recorded on the client record. No transcript means no supervision, and nothing else in the app changes.
Does it read my email? +
It syncs the threads that match addresses on your client records — so the correspondence is on the Timeline — and nothing else. There's no inbox in Throughway, no unread counts, and no open or click tracking. You reply in Gmail as usual.
What can my clients see? +
Only what you mark shared. Each client gets one portal — magic-link sign-in, no password — showing their next session, the docs and pages you shared, and their invoices with a Pay button. Session notes and your review are never in it, and Make private revokes anything instantly.
Can I bring my existing clients and history? +
Yes. Add clients to the pipeline and back-fill past sessions and calls onto the timeline as quick one-liners — each expands into a full record whenever you want to flesh it out. Connecting your mailbox brings twelve months of email with it.
How does billing work? +
Each engagement carries its own model — flat retainer, per session, or a prepaid package — and that same engagement feeds the contract, so the numbers only get typed once. At month-end you generate the invoices in one pass, send them, and collect via Stripe. You stay in control of marking things paid.
Is this just for solo coaches? +
It's built for solo executive and leadership coaches first — that's the whole design. Team features like shared notes and assignees are on the roadmap, so a small practice can grow into it.
Can I use it on my phone between sessions? +
Yes — Throughway is built for desktop and phone. On mobile, logging and quick edits open as bottom sheets, so a note after a hallway conversation takes seconds.
